TERMS AND CONDITIONS

Our custom Tour services are tailored to your interests and personal schedule and are not part of a pre-packaged tour. Of course we do have packaged tours as well. Among other things, our services include individualised tour planning. Itinerary research, communication and specialised attention throughout your trip.

We fell that the package price we quote you represents the full value that you will receive from this unique and enjoyable way to experience the destination. We have found that travellers who are looking for a budget trip are usually better served by working through other channels.

This is the way we work:

We will give initial guideline estimates and suggested skeleton itineraries. Your exact costing can only be determined as we fine tune your custom itinerary and may differ based on individual requirements.

We include suggested hotels, transportation, sightseeing and special service requests. We will work with you on your trip until you are completely satisfied.

Upon your approval, we will begin working with the suppliers to book your trip. Once the hotels and services are confirmed, we will finalise the cost and provide a final itinerary – again for your approval.

Deposits are due at this time and can vary by supplier. In no case are deposits less than 10%

Final payment is due 60 days prior to departure and must be received before the fully detailed itinerary and final tour documents can be sent. Without full payment, tour arrangements will be cancelled and applicable cancellation costs will be applied.

Additional planning and consulting service fees may apply when special arrangements, theatre reservations, archive search etc are requested. Such fees may be a separate charge or included in the total purchase price of your trip. No charges will be made without your consent to obtain such services.

Cancellation after deposit or final payment is subject to cancellation penalties levied by suppliers.

Our prices are competitive because we provide total trip design and management.

We do not provide breakdown per item because our negotiated rates are confidential and by contractual agreement with our local suppliers. We will be more than happy to work within your budget. Thank you for your understanding.

Once you have accepted your booking and payment, it implies contractual agreement of these terms and conditions.

Changes/Surcharges after booking is made and paid:

  • $100.00 per change plus company charge. Eg airline charges vary.
  • No changes within 15 days before departure.

Trip Cancellation and Refund Policy:

We strongly advise travellers to purchase Trip Cancellation/Interruption Insurance at initial stage. Our deposits are non-refundable and cancellation fees reflect the costs involved in putting together a custom tour. If you decide you do not wish to take the trip and it is because of a ‘covered’ reason, your insurance would cover the cost.

All cancellations must be received in writing,

Some Promotional Bookings are non-refundable and some of our suppliers have more strict cancellation penalties which we will advise in each proposal.

We will endeavour to maximise your refund from the suppliers. A 10% Administrative Fee will be charged for the cancellation of Bookings. Once booking is confirmed and finalized, the Tour Package and All Land Arrangement bookings are Non-Refundable. There is No Refund for any unused tours, transport, hotels. However, in the event of natural calamities and force majeure, or mandated government cancellations, Clients may be entitled for a refund, subject to the Supplier’s (ex. Hotel) Terms and Conditions. 

If you booked Air Tickets with us:

  • Air cancellation fees will be in accordance with airlines rules and regulations.
  • Many airlines have implemented charges for checked baggage. These fees are payable to the airline.
  • Airline prices are subject to increase prior to the time you make full payment for your air-inclusive tour. Prices are not subject to increase after you make full payment except for charges resulting from increased government imposed taxes or fees.
  • An Admin Fee will be paid to us by you for the cancellation of the air fares.

Currency Exchange Rates

The prices quoted are based on AU dollar valuation and foreign exchange values and tariffs at the time of booking. In case of appreciable variations in such values, we retain the right to make such adjustments in price/s as necessary.

Proof of Passport and other documentation

Passports valid for at least 6 months beyond completion of your tour will be accepted. We urge all travellers to contact the appropriate embassy or consulate of the destination they are visiting to determine what travel documents are required.

IT IS CRITICAL THAT WE LIST YOUR NAME EXACTLY AS IT APPEARS IN YOUR PASSPORT

For air reservations we need dates of birth and gender.

It is the client’s responsibility to obtain documentation for boarding and we will not be liable for client being denied or delayed in boarding due to incorrect or missing documents.

Disclaimer and Responsibility Clauses:

  1. Agent for Suppliers:  SEASONS TRAVELS AND HOTELS (Travel Agency) acts as a Sales Agent for any Airline, Hotel, Car Rental Company, Tour Operator, Cruise Line or other service provider named in your itinerary or confirmation (Suppliers) We are not responsible for the acts or omissions of the Suppliers or their failure to adhere to their own schedules, provide services or refunds, financial default, or failure to honour future trip credits. We have no special knowledge regarding the financial condition of the Suppliers and no liability for recommending a trip credit in lieu of a refund.
  2. Risks of Travel and Release: We assume no responsibility for and shall not be liable for the acts or omissions of any party not under our control, or any acts of God, unsafe conditions, terrorism, health hazards including pandemics, illnesses, weather hazards or the suitability for a disabled person of any portion of any trip. We have no special knowledge of dangers during travel or at destinations. For information related to such dangers, we recommend going to www.smartraveller.gov.au

It is your personal decision to travel and you are doing so with full knowledge of current travel recommendations and travel restrictions with regards to the risk of COVID-19

YOU HEREBY EXPRESSLY ASSUME ALL OF THESE RISKS AND DANGERS AND YOU WOULD EXPRESSLY AGREE TO FOREVER RELEASE, DISCHARGE AND HOLD US AND OUR AGENTS, EMPLOYEES, DIRECTOR, AFFILIATED COMPANIES, GUIDES GROUP LEADERS AND SUBCONTRACTORS HARMLESS AGAINST ANY AND ALL LIABILITY, ACTION, CAUSES OF ACTION, SUITS, CLAIMS AND DEMANDS OF ANY AND EVERY KIND AND NATURE WHATSOEVER WHICH YOU NOW HAVE OR WHICH MAY HEREAFTER ARISE OUT OF OR IN CONNECTION WITH THESE RISKS AND DANGERS.

  • Vaccination Requirements and Other Rules: We have no responsibility for COVID-19 related requirements that travel suppliers and governments may impose from time to time, such as required vaccinations, health affidavit forms, COVID-19 screenings prior to departure or upon arrival, face coverings or quarantine.   • Other Foreign Entry Rules: You assume full and complete responsibility for checking and verifying any and all passport, visa or any other entry requirements of your destination and your connecting points and all conditions regarding health, safety, security, political stability and labour or civil unrest at such destination. Many countries require your passport to be valid for six months or more after date of entry. Some countries will not admit persons convicted of a crime. Some countries require both parents’ consent for minors to travel.
  • Fees and Price Drops: You agree to pay the travel planning, change and other fees at as described above. If a Supplier drops the price of a trip after booking, we will try to assist you with rebooking if the Supplier allows it and a fee may apply. We do not guarantee any refunds or successful rebooking.
  • Price Increases: Travel arrangements involving airline and cruise components are subject to Suppliers’ supplemental price increases that may be imposed by the supplier and/or government, even after you have completed your purchase. You hereby consent to any such price increases and authorise your Credit/Debit Card to be used.
  • Insurance: For your protection, we strongly recommend that you purchase trip cancellation and travel accident insurance. Please note that unless you buy a Cancel For Any Reason Policy, most policies have a specific clause stating they do not cover Epidemics and Pandemics especially when travel warnings are in place. No representation or description of the insurance made by our staff constitutes a binding assurance or promise about the insurance. You agree to hold us harmless for your election not to purchase travel insurance or for any denial of claim by travel insurer as it relates to COVID-19 or any other claim under the policy.
  • Credit Card Merchant: We also strongly recommend that you use a Credit Card for your purchase, so that you can exercise your rights under the Fair Credit Billing Act if you do not receive the services you purchased. However, if we are the Credit Card merchant, our role is to facilitate the sale, collect funds on your behalf and remit those funds to the Suppliers. If the Suppliers do not provide the services, your only recourse would be against the Suppliers and you agree not to initiate a chargeback against us.
  • Claims Deadline: You agree to present any claims within 30 days after your trip ends and to file suit within 1 year of the incident and you acknowledge that this expressly limits the applicable statute of limitations to one year.
